PDF form filling guide

Fill a PDF form and save a copy.

Open your form, enter your answers, and keep a completed PDF. The browser editor works on your device: you do not need an account or upload the form.

The short version: open a PDF, click a fillable field, enter your answer, then save a copy. Reopen that copy to check that the answers are there. Saving works differently on desktop, in a browser, and on a phone; the steps below cover each.

Fill in the form

  1. Open the editor. Use the browser link above, or open the DartPDF app on your device.
  2. Choose your PDF. Select Open and pick the form. On desktop, you can also drop the file into the window. Keep the blank original if you will need it again.
  3. Enter your answers. Click or tap a fillable text field, type your answer, and select the checkboxes or choices you need. Click outside the last text field when you finish.
  4. Save a copy. Follow the instructions for your platform below. Closing the editor is not a substitute for saving the completed PDF.
  5. Reopen the saved file. Find the copy in your chosen folder or Downloads, open it, and check the last answer and any checkboxes before sending it.

These steps fill existing PDF form fields. A scanned paper form may have no fields to click; see what to do when a form is not fillable.

Save on your device

In a browser

Choose Save in the editor. Your browser downloads a PDF copy or asks where to put it, depending on its download settings. Look in the browser's download list if you cannot find the file.

The file you originally opened is unchanged. If you save several times, check the newest download: the browser may add a number to the filename rather than overwrite an earlier copy.

On Mac, Windows or Linux

To preserve the blank form, open the DartPDF menu and choose Save as…. Give the completed copy a distinct name and choose a folder. On desktop, Save writes back to the open file when it has a writable location.

If the original file cannot be written, DartPDF offers a new save location. Choose a folder you can write to, then reopen that saved copy.

On iPhone, iPad or Android

Use the editor's Share action to open your device's destination sheet. On iPhone and iPad, choose Save to Files to keep a PDF copy. On Android, choose an available file-storage destination or the app you want to send the PDF to.

Finish the destination app's steps. Opening or dismissing the share sheet does not by itself confirm that a copy was saved. Check the destination before closing your edited document.

What if there are no fields to click?

A PDF can look like a form without containing interactive fields. If yours is a flat page or scan, use the editor's text annotation tool to place answers on the page. OCR can make scanned text searchable, but it does not turn the printed boxes into fillable fields.

Dynamic XFA-only forms are a separate format that DartPDF cannot fill. If the editor identifies one, ask the sender for a standard fillable PDF or another accepted format.

Check the copy before you send it

  • Open the file you saved or downloaded, rather than the untouched original.
  • Check that the last text entry and checkbox choices survived reopening.
  • Keep fields editable unless the recipient specifically asks for a flattened copy.
  • If the form was already digitally signed or certified, check its permitted changes before editing it.

Document editing happens locally. Choose a sharing destination only when you are ready to send the file. The privacy policy explains the app's optional network features.

Start with the form you need to finish.

No account and no document upload. Open the editor, choose your PDF, and save the completed copy on your device.
